How Much Should I Add Into Notes?

Adding supplemental notes about the record you are reviewing is important for clarity and confirmation of the issue that has been identified. A concise sentence or two about why you are choosing to challenge the record is best. Here are a few suggested notes for your consideration only IF YOU ARE CHALLENGING THE RECORD


When reviewing a record that shows a change of address: “This record appears to be ineligible based on permanent change of address data from USPS." Keep in mind that IV3 may already have a prefilled address note with a similar statement that will be included in your challenge spreadsheet.

When reviewing a record that shows a non-standard address: “This record appears to be ineligible based on address data from USPS and visual inspection using Google Earth of what appears to be an uninhabitable address”

When reviewing a record with no pre-identified issue: Add whatever notes appropriately reflect your reason for challenge (deceased, criminal status, under 18, non-citizen, etc.) Be sure to include additional details to support your reasoning such as: databases used, personal knowledge, or other supporting information.

Your Notes will appear alongside the records in your My Challenges queue. They will also print onto the challenge spreadsheet when exported.

IF YOU ARE NOT CHALLENGING THE RECORD, these notes will remain in IV3, and those records will not be included on your challenge spreadsheet. A record that is denied for challenge will be added back into the dataset for review by other users, along with a notice that the record was previously denied for challenge on the following basis: (your notes will be inserted here). Users can then choose to skip the record, or they can Challenge it based on their own assessment.
